Re: Request for Access to Records under the Freedom of Information and Protection of Privacy Act

Dear [applicant’s name]:

The [name of public body receiving transfer] received your request under the Freedom of Information and Protection of Privacy Act (the Act) on [date of receipt].  You have requested copies of [describe records requested, quoting directly from the applicant’s request where possible].

Your request was transferred from [name of public body] under section 11 of the Act.  It was transferred because [one or more of the following must be chosen] the responsive records were produced by or for the [name of public body receiving transfer], the [name of public body receiving transfer] was the first to obtain the records, or the records are in the custody or under the control of the [name of public body receiving transfer].

The Act allows 30 business days for us to respond to your request, so you can expect a response by [date].  We will, of course, make every effort to respond sooner if possible.

You should also be aware that the Act does allow, in certain cases, for the 30-day time period to be extended and for fees to be charged.  We will notify you as soon as possible if there is a need to extend the time limit for responding to your request or to charge fees.

If you have any questions, please write or call [name of Analyst at the public body receiving the transfer], the Analyst assigned to your request, at [telephone number].  You may be transferred to this number free of charge by calling Service BC at 604 660-2421 in Vancouver or at 1 800 663-7867 elsewhere in British Columbia.

Sincerely,

Director/Manager
