Office Use Medications, Samples and Over the Counter Medications - EPNMP.05

To ensure the best possible patient medication history and maximize the effectiveness of Drug Use Evaluations, update a patient’s PharmaNet profile when an office use or sample medication is administered or dispensed or a patient reports they are taking an over-the-counter (OTC) medication.

Recording Office Use and Sample Medications

Office Use Medications (OMED) and sample medications must be recorded. When you record them, the records are automatically sent to PharmaNet.

OMED will be recorded under the pharmacy PHN when dispensed to Doctor’s Offices, Dentists or Vet Clinics. OMED are not used for a patient dispense or stock transfer.

The sample medications are administered or dispensed to a patient by doctors, veterinarians or dentists and will be recorded under the patient PHN. The sample medication is sent to PharmaNet as a medication update.

OTC Medications

OTC medications—such as non-prescription medications, vitamins, supplements or naturopathic medication—reported by your patient should be recorded and sent to PharmaNet.

Reversing an Office Use, Sample or OTC Medication

If PharmaNet identifies a drug interaction with or sample or OTC medication, reverse the update as soon as possible.

When reversing the update:

• use the original date that you sent the original update to PharmaNet (not the date of the correction), and
• specify a reason for reversing the update.

If you dispense an alternate sample medication, enter and submit the new medication.

You cannot reverse an update if more than 120 days have passed since the ‘dispensing’ date.

If a prescription was not picked up over 120 days, the pharmacist can contact the Data Quality Team at the MoH to reverse the dispense.
