Enhancements to the applicant process

The online criminal record check form uses the BC Services Card Login to verify an applicant’s identity. The BC Services Card Login is a secure and easy way to prove who you are when accessing government services online.

Learn how to set up the BC Services Card Login.

If you live in another Canadian province or territory and do not have a physical BC Services Card, you can still set up the BC Services Card Login and submit an online criminal record check. You will need two pieces of government-issued ID to verify your identity.

If you live outside of Canada, or choose not to use the BC Services Card Login, you can still submit a criminal record check online:

  • The organization will be notified and will verify your ID through the organization platform or via email.
  • An authorized person will confirm your ID and the criminal record check will be automatically submitted for processing.

Authorized contacts

Organizations can manage their authorized contacts directly in the online platform. Primary authorized contacts need to send an invitation link to other authorized contacts to activate their access to the platform.

Before the invitation to the online platform is initiated, the primary authorized contact must ensure that all additional contacts are set up with their own BCeID log in credentials.

Please be advised that the link in the invitation email is valid for a one-time click. If it has been more than 7 days since the invitation was sent, it will need to be deleted from the system and re-sent.

If your organization has multiple accounts linked to their Business BCeID, authorized contacts will need to be set up for each account.

If your organization does not use the online platform, you can use the web form on the CRRP website to update your authorized contacts. It is the responsibility of the organization to manage and ensure authorized contacts are up to date.

Criminal record check invitations

Organizations can send individual invites to applicants to submit their criminal record check online directly using the online platform. Organizations that submit a high volume of criminal record checks may also share their unique access code and secure link with applicants to submit their criminal record checks online. Detailed instructions on how to change the default payment settings in the online platform can be found here

Organizations that do not access the online platform can share their unique access code and secure link with their applicants for them to complete their criminal record check online.

Payments

Organizations can choose whether the applicant or organization pays the criminal record check fee. Payor default can be set in the organization’s profile by the primary authorized contact using the online platform. Alternatively, there is an option to change the payor for a specific CRC using a drop-down field in the individual CRC invitations sent to applicants.

Payment can be made online through PayBC using VISA, Mastercard, American Express, or VISA Debit. Alternatively, organizations can mail a certified cheque or money order.

Payment information must be entered for each application and PayBC does not store credit card information.

Organizations that do not access the online platform can contact the CRRP to update or confirm the default payor on their account.

Organizations set up as a volunteer organization do not have a payment requirement field. If your volunteers are requested to pay for their criminal records check, your account is set up as an employee account.

If you submit checks for both volunteers and employees, you will need to register a separate account for your organization.

Status updates and results

Organizations can see real time application statuses including which applicants' criminal record checks are complete on the online platform using the filter option on the dashboard. Clearance letters will continue to be emailed to the organization directly.

If an applicant has an eligible clearance to share, and they used their BC Services Card Login for the previous criminal record check, they will be provided with the option to consent to sharing that clearance with the organization when completing their CRC online. Your organization can choose to accept the shared clearance, or you can send a new CRC application link to have the applicant complete a new check.

A manual sharing form is available when an applicant has an eligible clearance but did not previously use their BC Services Card Login.

The organization can submit a manual sharing form to spdcrcsp@gov.bc.ca for processing. Get the sharing form here

Alerts

The online platform will alert organizations about clearances that are expiring soon and provide an easy renewal process.

The alerts are every 5 years as per the Criminal Records Review Act. If your organization has internal policies that require more frequent checks, the system will not generate additional alerts.

Reports

The platform will automatically generate monthly statements that include all criminal record checks in PDF format.

Online platform access

To access the full benefits of the CRRP online platform, each authorized contact requires their own BCeID user account. This crucial step ensures your organization is prepared for seamless access to the online system.

Step 1: Register a Business BCeID

If your organization already has a Business BCeID profile, skip to Step 2. If not, register for a Business BCeID.

Step 2: Create BCeID user accounts

All your organization's authorized contacts must have individual BCeID user accounts to log in to the new platform. Learn more about authorized contacts.

  1. Search the BCeID business directory to find your organization
  2. Reach out to the appropriate business manager, as listed in the directory, to request the creation of a BCeID user account
  3. Designate primary authorized contacts as Profile or Account Managers

For more assistance on setting up your BCeID user accounts, refer to pg. 18-21 of the Business BCeID Profile and Account Management Guide (PDF).

Step 3: Contact the CRRP

Contact the CRRP to receive the invitation email containing the link to the online platform. This must be completed by the primary authorized contact and is a one time use link only.

If you have already tried this step and are still unable to gain access, please contact the CRRP and provide the following information:

  • Org Name and Party ID
  • Is the Org authenticated or unauthenticated
  • What action they were trying to complete
  • Name of individual that was trying to access the system and confirmation that they are a primary or authorized contact
  • Description of the issue(s)/error(s)
  • Screenshot of issue(s)/error(s) with timestamps

Subscribe to this page to get updates.

If your organization cannot use the online platform

If your organization can't use Business BCeID, you will not have access to the online platform. However, you will still experience a streamlined online process by sharing your secure access code and link with applicants. If you do not have an organization access code, please contact the CRRP to get one.

There is no limit on how many applicants can receive the secure access code and link. You will receive notifications via email if action is required such as ID verification.
