 Cessation of Shredding Services During Interregnum

Iron Mountain has already been informed and instructed in advance that they are to cease collection services for document shredding during the interregnum for all Ministries of the Provincial Government (the Courts are exempt and may continue to shred confidential documents as necessary). 

Ministry account holders do NOT need to contact Iron Mountain to have collection services temporarily halted as Iron Mountain has already been informed which accounts are to cease and which are exempt (Courts).  The cessation order does NOT apply to Broader Public Sector entities and services to any of those account holders will continue as normal. 

Once the Order by the Head of the Public Service is issued after the election that shredding services may resume, then Iron Mountain will be informed directly by the Province, so individual Ministry account holders will NOT need to contact Iron Mountain to have their services restored either.

IMPORTANT UPDATE
 

The previous CSA for Shredding Services that was held by the supplier Stericycle, aka "Shred‑it”, expired on October 2, 2024.  A new CSA is now in place with a new supplier, Iron Mountain.  Corporate Policy requires that all Ministries must switch to the new CSA with the new service provider, Iron Mountain.

Note that Broader Public Sector organizations  (e.g. municipalities, school districts, most Crown corporations, etc.) may also switch to the new CSA and new supplier at their own discretion but are NOT required to do so.  Please be aware though that since the CSA with Shred‑it expired on October 2, 2024, the agreement between BPS (Broader Public Sector organizations) and Shred‑it might no longer be valid after that date.  Please refer to your organization’s own agreement records with Shred‑it for further details on the expiry of your agreement.

If your BC Government / Ministry office presently has bins owned by Shred‑it, determine who in your office/branch/division manages your Shred-it account.  This individual should then complete a Container Service Request form and email it to the address provided at the top of that form.  Once Iron Mountain has received your Service Request form, they will return a signed copy to you.  This establishes the contract between your organization and Iron Mountain, which is the CSA Order Terms & Conditions

Iron Mountain will notify you of the delivery date of your new bins via email. Depending on your community, you will receive your bins within 8 to 20 Business Days (essentially, if a community has weekly service, delivery will be within 8 Business Days, and if a community has very low frequency of service, such as every 8 weeks or less often, delivery will be within 20 Business Days).

Once you have received notification of your delivery date of your new bins, you should then notify Shred-it via email to close your account and remove your Shred-it bins after they have performed the final service to empty them. 

Note that there is now a Minimum Fee that may be charged for each collection at the same building of any one account holder.  If the total cost of the bins serviced within the same building of one account are less than the Minimum Fee for each collection, the Minimum Fees will be charged instead.  So now is a good time to ensure you choose an efficient frequency of collection such that you have your bins emptied only when they are near full and not much before.  Depending on the volume of documents your office generates, you may save money by obtaining more bins and having them serviced less often, rather than having less bins serviced more often.  Refer to Pricing further below to see the sizes and prices of each bin type available along with the Minimum Fee charged for your area.

When choosing a frequency of collection, note that you may choose LESS frequent service than is listed for your city (e.g. if Weekly collection is offered, you may select to have your bins serviced every 3 weeks, or every 7 weeks, etc., or if Monthly collection is offered, you may select to be serviced every two months, etc.).

Services you can purchase

Collection and secure shredding of paper-based documents

  • OFF-site Shredding:  documents are transported via secure vehicles, shredded in a secure facility, and recycled – only available in some Metro Vancouver communities.
     
  • ON-site Shredding:  documents are shredded within the supplier’s vehicle parked on or adjacent to the customer’s location, and recycled.
     
  • Documents can either be collected on a regularly scheduled basis by use of secure containers provided by the supplier that are stored on site  or  documents can be collected on-demand for a one-time collection by placing in user-supplied cardboard “Banker” file boxes.

Use this supply arrangement

Step 1:  Check if your organization is authorized. Organizations that may use this supply arrangement are:

  • B.C. government ministries
  • B.C. broader public sector organizations on the CSA User's List

Step 2:  Determine which specific services and collection frequencies are available in your community within the Geographic Areas, Communities & Service Frequencies table.

Step 3:  Review Pricing then complete either the Container Service Request Form or the File Box Service Request Form as appropriate and email to the supplier’s email address on the form to establish a contract and initiate the services.

Step 4:  If you are within a Ministry/BC Government office that presently has bins and service with Shred-it (Stericycle) then, once Iron Mountain has emailed you the delivery date of your new bins from them, you need to inform Shred-it via email that you are cancelling the services, closing your account and for them to remove their bins. Broader Public Sector organizations should refer to their own agreement records and internal processes for informing Shred-it of the need to close the account and terminate the contract.
